Founded over 150 years ago, Barnardo’s has grown into the UK’s largest charity specifically caring for vulnerable children and young people. With a turnover of around £250 million each year, the charity operates more than 800 local services across the country, directly helping over 200,000 families.

After successfully completing the scanning and archiving of files in preparation for Barnardo’s Edinburgh office relocation in 2013, Capture All won the tender for a similar project in Glasgow in early 2015.

Problem

Barnardo's promise that 92 pence in every pound they spend goes directly into their work helping vulnerable children, young people and their families. Only three pence in the pound is spent on governance. Considering the size of the charity and their incredibly varied projects, squeezing so much value out of every donation is exceptional. This efficiency comes on the back of a diverse, agile and engaged workforce, promoted through the charity's four year business plan True to our roots – fit for the future. When moving office in Glasgow, Barnardo's Scotland decided to overhaul their filing system and dispense with their outdated physical storage system.

Solution

Barnardo's put the project out to tender, hoping to find a scanning bureau with a competitive pricing structure, great attention to detail and excellent customer service skills. We won the tender and with it the opportunity to help with Barnardo’s excellent work. We began working with Barnardo’s earlier this year, collecting around 50 crates of documents from two sites in Glasgow. We used our secure in-house courier to move their documents from their offices to our purpose-built storage facility in Falkirk. We scanned and processed all documents within the agreed time frame and and returned the new digital files to Barnardo’s on DVDs.
