Capture All undertake all uplifts and deliveries directly to ensure clients can be guaranteed of maximum security for their documents.
At a suitable pre-arranged time our vans will promptly pick-up your pre-boxed files with same day delivery to our customised warehouse in Falkirk. Our time-efficient collection diary ensures the main Scottish business centres of Glasgow and Edinburgh are visited each week
In preparation, we remove any obstacles to document scanning such as staples, folds, clips, and elastic bands and, as our staff are constantly looking to improve our service and provide the best end product, any blank pages are deleted and other discrepancies ironed out.
All documents are scanned at the appropriate resolution in mono or colour using modern, high volume, high specification production scanners. Our use of Kodak high volume scanners allows us to process up to 4,000 pages per hour.
The scanned images are then indexed as required. This could be at box level, folder lever or page level. Where required, bookmarks can be added and the files processed to allow for Optical Character Recognition (OCR).
At no additional charge, we can offer the added value of Alchemy Search and Retrieval Software, a powerful third party software which allows us to structure the client data enabling instant retrieval. This software creates a secure repository for the scanned data, which cannot be deleted or altered in any way.
Our document scanning service is accredited to ISO 9001: 2008 and further backed up by our rigorous Assured Image Quality Guarantee policy. Additionally, our process is accredited to the ISO/IEC 27001:2005 information security standard.
Shred or Return
After a minimum period of 30 days following the completion of scanning, we will notify the client that this batch of documents is due to be destroyed. With the clients’ permission we will then ready the documents for distribution to one of our preferred Secure Destruction Facilities where the documents will be shredded confidentially. The shredded material is then pulped and recycled into cardboard and packaging materials.
Or, where requested, we will securely return the original hard copies to our client. Firstly, the document boxes are safely loaded into the van within the walls of our secure and locked warehouse. The number of boxes will be checked off against the job sheet to ensure that the correct boxes are selected for return.
As each delivery is arranged in advance our driver knows exactly how many boxes they need to load and, with a keen eye for detail, will ensure everything is in place before setting off.
At the client’s premises, the driver ensures they speak to their named contact before transferring the boxes from our van to the client’s preferred location within their building.
Once the client is secure in the knowledge that the delivery is complete, we ensure that they sign and date a delivery confirmation sheet.
We are confident that you will find our document scanning and secure shredding process the most efficient in Scotland and our customer service second to none.
