The scanning industry is incredibly complex and varied.

To help answer some of your questions we have collected some of the more frequently asked questions along with their answers. If you need any more information, please call Shaun on 01324 670353.

What areas do you cover?

Our document, drawing, and book scanning services plus our file storage facilities are used by clients from all over Scotland. We cover from Inverness in the north across to Aberdeen and down the east coast through Dundee, Dunfermline and Edinburgh. We are based in Falkirk and so the central belt including Bathgate, Stirling, Cumbernauld and Motherwell is within easy reach. We have a weekly pick-up in Glasgow of course, giving quick access to Paisley, Greenock and down the Ayrshire coast to Ayr, Kilmarnock & Irvine.

What type of documents can you scan?

With our document scanning service, we can scan all types of paper documentation including A4, A3 and large format documents, bound books, art prints, maps, illustrations, architect’s drawings and older linen artworks.

How secure is my data?

With our continued commitment to provide our clients with the highest level of data security, Capture All has successfully achieved the ISO/IEC 27001:2005 certification for the provision of document scanning and electronic archiving services.

This certification guarantees that all your scanned data and information are secured in compliance with the highest international standards and are safe from security breaches.

What happens to my physical documents?

We can securely store your documents after they are scanned. Alternatively, we can safely dispose of all physical copies using a secure shredding process followed by pulping. On completion we can issue a certificate of destruction.

Will my scanned documents be compatible with future document management systems?

We scan your documents in the most commonly used file formats to ensure your data remains compatible with past, present and future systems.

What format are my files scanned in?

We can produce scans in all file formats, including PDFs, TIFFs, JPEGs and BMPs. Please do not hesitate to ask us about specific file formats that you need.

How do you scan documents?

We use specialist scanners to reproduce digital copies of your documents. For general paper scanning we use state-of-the-art Kodak scanners and for book scanning we have recently acquired the very latest Bookeye book scanner.

How quickly can I access a document?

We understand that our clients often need urgent access to their documents. We endeavour to quickly retrieve your requested file, scan and return via email or secure FTP. Where demand is urgent, ask about our Fasttrack one hour request service for those unexpected emergencies.

Are you able to store my files without scanning them?

Absolutely! Our new dedicated storage centre is perfect for storing large numbers of boxes and files indefinitely, freeing up valuable space at your own organisation. If you later need access to any of your files, we can scan it and send it to you within 24 hours.

What kind of organisations do you work with?

Our client base is extremely varied for both document storage and document scanning. It ranges from lawyers and accountants to museums and charities including both public and private sectors from right across Scotland. What we have learned is to treat each client uniquely and provide a tailored and supportive service.
